Transferring references with file attachments between EndNote and EndNote Web

There is currently a problem which means that if you try and transfer a reference that has a file attachment from an EndNote desktop library to your EndNote Web account and then back again, the file attachment will be lost.
EndNote are working to solve this, but for the moment it is best to avoid transferring references with attachments.

Spell checking references in EndNote

There is a problem with the spell check in the new version of EndNote, which means that the dicitonary sometimes appears to be empty. This can be fixed by following the steps below:
  1. Open a reference in EndNote and click on the spell check icon (or go to Tools > Spell Check).
  2. Click on Options... at the bottom of the dialog box.
  3. Under Main Dictionary language select British English.
  4. Click OK.

The spell check should now work correctly.

EndNote on staff PCs

Be aware that after the recent upgrade EndNote now sits on the C: drive on some staff PCs, rather than the H: drive as previously. If departmental technicians need to work on your PC for any reason it is worth making them aware of this.

Linking files to your references

It is now easier to link files to your references. Rather than having to use the menu commands you can now simply drag and drop the file onto the reference in your list of references.

Remember: you can link to Word and Excel files, as well as PDF documents.

Using EndNote with word processors other than Microsoft Word

The EndNote Cite-While-You-Write toolbar is only available to use in Microsoft Word, however you can use EndNote with other word processors (e.g. Open Office) as long as they can save files in Rich Text Format (RTF).

Inserting references from EndNote

  • Highlight the reference in EndNote that you want to use. From the Edit menu choose Copy.
  • Place the cursor in your document where you want to insert the reference and use the Paste option in your word processor to insert the reference.
  • Your reference will appear in a temporary citation format e.g. {Bennett, 2002}

Note: If you have EndNote and your word processor visible on screen at the same time you can drag the reference across.

Formatting the document

  • Once you have finished the document save it in a Rich Text Format (RTF).
  • Close the file.
  • In EndNote go to Tools > Format Paper > Format Paper...
  • Find the file that you have saved and select Open.
  • A message will tell you how many citations have been matched.
  • Under Output Style select the style you wish to use.
  • Click on Format.
  • A new version of your document will be created for you to save.
  • Open the new document in your word processor.

Note: If you want to make any changes to the document you will need to make them in the original version and then reformat the document in EndNote.

You can also use this feature with EndNote Web, however you will have to type the temporary citations into the Word document manually, rather than copying them across. Use the Format Paper option under the Format tab in EndNote Web to format the list of references.

Importing references from the CSA databases

There is currently a problem with the EndNote filter which imports references from some of the CSA databases:

  • ASSIA
  • ANTE
  • Art Bibliographies Modern
  • British Humanities Index
  • Design & Applied Arts Index
  • Linguistics & Language Behaviour Abstracts

This means that the author details are not appearing in the correct place in the EndNote reference.

If you use any of these databases in your research, please email me and I can send you a file which will perform a temporary fix.

Importing references from the Emerald database

When you import references from the Emerald database you may find that some of the original punctuation is replaced by strange text characters. To correct this problem you need to import the references again using the following steps:

  • Click on File > Import
  • Select your text file and choose the Emerald filter as normal
  • Under Text Translation select Unicode (UTF-8)
  • Click on Import

Your references should now import with the correct punctuation.

Installing EndNote on a university-owned laptop

University-owned laptops, issued to members of staff, have been added to the distribution list for EndNoteX1. Once connected to the University network you will be able to download the new version of EndNote yourself using the Add/Remove Program option in the Control Panel. Remember you will also need to configure the EndNote toolbar for Word using the instructions in the previous posting.

Note: You will need to remove any previous versions of EndNote before downloading EndNoteX1
