Saving results in the Emerald database

Sometimes when you have selected your results in Emerald and click on Go to add them to the marked list, you will get an error message:
http error: 500 Server Error

This does not affect the saving of your references. Simply select the Search & Browse option from the green menu bar on the left of the screen and click on Marked List. You should then be able to view your selected references and save them as normal.

Creating a list of references without inserting citations

If you have already inserted citations into your assignment manually, you can still use EndNote to create a list of references at the end of your document. Simply follow the steps below:

  • Make sure that you can view your EndNote Library and Word on screen at the same time by resizing the windows.
  • Check that the correct output style is selected in EndNote.
  • Highlight the references that you want to include in your bibliography. (Use the Ctrl key to select multiple references.)
  • Hold down the Ctrl key and drag the references into your Word document.

Your bibliography will automatically be formatted using your chosen style.

Note: Select your references carefully as you cannot go back and add extra references without starting the whole process from scratch.

EndNote missing in departmental computer labs

If you are using a PC in a departmental computer lab and find that the EndNote program is not available, please let me know so that I can arrange for it to be installed (h.perkins@coventry.ac.uk).

In the meantime, remember you can access EndNote by logging in to the Remote Desktop Connection. Instructions for this can be found on the Library's EndNote webpages

Adding an image to a reference

It is possible to attach an image to a reference in your EndNote library. This image can then be inserted into a Word document. Simply follow the steps below.

Adding an image to a reference within EndNote

  • Open the reference that you want to add the image to by double clicking on it.
  • Go to References > Figure > Attach Figure...
  • Click on Choose File... and find the image you want to add, then click Open.
  • The image will be added to the Figure field in you reference.
  • Add a name for your image in the Caption field – this will help you to search for it later.
  • Close the reference and save it.

The reference will now display a tick in the figure column to the left of the author name.


Including an image in a Word document

  • Place the cursor in the Word document in the position where you want to insert the image.
  • From the EndNote menu tab in Word 2007 click on the arrow next to Insert Citation and select Find Figure... (In Word 2003 use the Find Figure(s) icon in the EndNote toolbar)
  • Type the name of the caption that you gave to the image in the Find box, then click Search.
  • Highlight the correct image in the list by clicking on it. Then click Insert.

The image will be inserted into your document, together with the caption.

Microsoft Word 2007

IT Services are in the process of installing Office 2007 on all campus PCs; however the Thin Client Service will still continue to run Office 2003 for the moment.

If you create a Word document on-campus and then want to use it with EndNote from home (through the Remote Desktop Connection), you will need to save it in the 97-2003 compatibility mode.

To do this, click on the Office button in the top left of the screen and choose Save As > Word 97-2003 Document. Give your document a name and save as normal.

This document can now be used both in Word 2007 and Word 2003 which will allow you to use EndNote both on and off campus.

Changing the reference type for more than one reference at once

If you want to change the reference type for a group of references that are already in your EndNote library (e.g. from journal article to electronic journal article) you can do so in one go without having to open each reference separately.

  • Make sure that only the references you want to change are visible in the main EndNote library window (you may have to search for them first)
  • Highlight the references and then select Edit > Change Text...
  • Using the drop down menu next to In: select Reference Type
  • In the Search for: box type the current reference type e.g. Journal Article
  • In the Change the text to: box type the reference type you want to use e.g. Electronic Article
  • Click on Change
  • A message will appear telling you how many references will be changed. Click on OK to make the change.
