Tip: Working offline at home with EndNote

If you are working at home and don't want to be connected to the internet all the time you could write your assignment in Word and insert a temporary flag/note where you want a citation to appear. You can then go online later, to access your EndNote library through the Remote Desktop Connection, and work through your Word document inserting the citations from EndNote.

Science Direct: exporting references into EndNote

If you want to export references from Science Direct into your EndNote library simply follow the steps below:

  • Carry out your search in Science Direct as normal
  • Mark the references you are interested in, using the tick box on the left of the record
  • Click on Export Citations (at the top of the results list)
  • Select RIS format (for Reference Manager, ProCite, EndNote)
  • Click on Export
  • Select your EndNote library from the dialog box and click Open

Your references will now appear in your EndNote library.

Changing the default reference type

When you are entering a new reference into EndNote manually it defaults to the journal article reference type. If you are entering lots of books or websites you can change this default by following the instructions below:

  • From the Edit menu select Preferences...
  • Choose Reference Types from the list on the left
  • Under Default Reference Type select the reference type that you would like to make the default.
  • Click on OK.

Using EndNote from off-campus

EndNote is still available to use from off-campus through the Remote Desktop Connection.

If you tried to gain access over the weekend you may have experienced difficulties, as IT Services were working on the University network. Access has now been fully restored, so you should be able to continue to work as normal.

Disabling Zotero

If you have Zotero (a free reference management programme) on your PC you may find that when you try to export references to you EndNote library they automatically go into Zotero instead. To stop this from happening you will need to temporarily disable the Zotero plugin by following the steps below:

Firefox

  • From the Tools menu select Add-ons
  • Find the Zotero entry and click the Disable button.
  • Close the Add-ons window down

Note: you may need to restart your browser to activate these changes.

Internet Explorer

  • From the Tools menu and select Manage Add-ons
  • Select Enable or Disable Add-ons...
  • Click on the Zotero entry
  • Under Settings click Disable
  • Click on OK.

Using EndNote with a Mac

The version of the EndNote software purchased by the University is for use with Windows and is not compatible with Macs.

It is possible to purchase an individual EndNote licence for use with a Mac from Adept Science at a reduced student rate. Alternatively, you could try looking at the open source reference management software Zotero. Although you will not be able to format references automatically into the Coventry University Harvard Style, you should be able to get a close match which can then be altered as needed.

Exporting references from a specific EndNote group

If you want to send the references in one of your EndNote groups to another EndNote user so that they can add them to their library, simply follow the steps below:

Exporting references from the first EndNote library

  • In your EndNote library view the group of references that you want to export
  • Make sure that all the references in the group are highlighted (use the Ctrl or Shift key)
  • Go to File > Export...
  • Under Output style select EndNote Export
  • Make sure the Export selected references box is ticked
  • Save the text file in the normal way
Importing references into the second EndNote library

  • In EndNote go to File > Import...
  • Click on Choose File... and select the text file of references to be imported
  • Under Import Option select EndNote Import
  • Click on Import
The references will be added to the EndNote library

Multiple EndNote libraries

Although the EndNote software will allow you to create more than one EndNote library, it is best to just create a single library and then use the Groups feature to organise your references.

If you try to insert references from different EndNote libraries into a single Word document you may run into difficulties.

Reminder: Missing EndNote tools in Word

Remember, if you are using EndNote on a campus PC you will need to run the Configure option from the EndNote menu in order to be able to add references to a Word document:

  • Close all Microsoft Office programs e.g. Word, Outlook
  • Go to Start > Programs > EndNote > Configure EndNote
  • Make sure Configure EndNote components for me is selected and click Next
  • Make sure that Unified Cite While you Write for Microsoft Word is selected and click Next
  • A message will tell you that the configuration is complete. Click Finish

When you open Word there will now be an EndNote menu tab containing the EndNote tools.

Multiple chapters in the same book

If you are reading an edited collection of essays and want to enter references for several different chapters into your EndNote library, you don't have to create a record from scratch for every chapter.

  • Create a record for one chapter, making sure that you choose the reference type Book Section so that you can enter the details of both the individual chapter and the book details.
  • Close the record to save it as normal.
  • Make sure the record is highlighted in the main library window.
  • Press Ctrl C, and then Ctrl V

This will create a duplicate entry in your Library. You can then simply open this record and alter the author and the title of the chapter, without having to enter the full book details again.
